Getting Started

Set up your workspace in 5 minutes

Follow these steps to go from sign-up to your first invoice.

1

Create your account

Go to app.mylatinum.com and sign up. You'll create a workspace (tenant) for your company — this is the container for all your clients, projects, and data.

What you'll need:

  • Your company name
  • Your email address
  • A password

The onboarding wizard launches automatically on first login and walks you through everything below.

2

Add company details

Enter your company information — legal name, address, logo, and default currency. This appears on your invoices and estimates.

Settings → Company:

  • Legal name and DBA
  • Business address and phone
  • Upload your logo (used on invoices)
  • Set default currency (CAD, USD, etc.)
  • Configure invoice numbering prefix (e.g., INV-0001)
3

Configure tax rates

Set up the taxes you collect — GST, PST, HST, or any custom rate. You can stack multiple rates on a single invoice (e.g., GST + PST).

Settings → Tax Rates:

  1. Click "Add tax rate"
  2. Name it (e.g., "GST", "PST")
  3. Set the percentage (e.g., 5% for GST)
  4. Choose whether it applies per line item or per invoice
  5. Add a second rate if needed (e.g., PST 7%) — they'll stack

Tax summaries appear automatically on every invoice and in tax reports for filing.

4

Connect a payment processor

Connect Helcim or Stripe so your clients can pay invoices online via hosted invoice links.

Settings → Integrations:

  • Helcim — Canadian payment processor. Your money stays in Canada. Lower fees for Canadian transactions.
  • Stripe — Global processor with the highest card acceptance rates. Good if you bill international clients.

Once connected, each invoice gets a "Pay Online" button on the hosted view page. Clients can pay by card without needing an account.

5

Add your first client and project

Create a client record, then create a project under that client. Projects track time, expenses, budgets, and billing type.

Clients → New Client:

  • Client name, contact email, billing address
  • Default billing rate (hourly)

Projects → New Project:

  • Project code and name (e.g., CLOUD / Cloud Migration)
  • Billing type: hourly, fixed fee, or non-billable
  • Budget: by cost ($), by hours, or no budget
  • Assign team members to the project
6

Invite your team

Invite team members so they can log time and expenses against projects.

Settings → Team:

  1. Click "Invite user"
  2. Enter their email and name
  3. Assign them to projects they'll work on
  4. They'll receive an email invitation to join

Each team member can log time against assigned projects. Only admins can see billing and invoicing.

7

Log your first time entry

Start tracking time against a project. You can use the timer, manual entry, or the weekly timesheet view.

Three ways to log time:

  • Timer — Click the play button on a project to start a live timer
  • Manual entry — Add a time entry with a specific duration, date, and note
  • Weekly timesheet — Fill in hours across the week in a grid view

Time entries can be flagged as billable or non-billable, and can include Zendesk ticket context (ticket ID, subject, organization) if you've installed the sidebar app.

8

Generate your first invoice

Turn tracked time into an invoice in one click. Select uninvoiced time entries, choose line items, and send.

Invoices → New Invoice:

  1. Select a client
  2. Click "Import time entries" to pull in uninvoiced hours
  3. Add any free-form line items (e.g., hardware, expenses)
  4. Review tax breakdown and totals
  5. Save as draft or send directly to the client

Sent invoices get a hosted view link the client can open without logging in. If you've connected payments, they can pay online right from that page.
